Legal Secretary/Administrator

Following continued expansion, Neilsons Solicitors and Estate Agents are looking to recruit a Legal Secretary or Administrator to join our residential conveyancing team at our newly renovated Head Office, at 138-142 St Johns Road, EH12 8AY.

The full time role is an excellent opportunity to join one of Edinburgh’s top firms. Ideally we are looking for individuals with at least 1 years’ experience of working in a Legal Secretary role or similar legal background. However, we would also consider new graduates with legal qualifications looking to gain such experience.

Main duties and responsibilities involve:-

  • Instructing legal searches
  • Assisting solicitors with general correspondence and documents.
  • Assisting solicitors with deeds registration and LBTT submissions
  • File management, including storage and archiving
  • Assisting solicitors with ID checks and law society compliance
  • Filing, scanning and photocopying
  • All tasks required to assist solicitors with daily running of office

Essential Skills and Attributes:-

  • Highly organised and client driven with good attention to detail
  • Strong interpersonal and communication skills across all levels of business
  • Ability to work to critical deadlines and effectively time manage workload
  • IT and confident typing skills
  • Interest in conveyancing and the property market

Legal Receptionist

Neilsons Solicitors and Estate Agents have a vacancy for a full-time receptionist to join the conveyancing team at our City Centre branch at 2a Picardy Place, Edinburgh, EH1 3JT.

Neilsons are one of the biggest Solicitor Estate Agents in Edinburgh, and no other Solicitor Estate Agent has won more awards than Neilsons over the past 5 years!

Key job responsibilities:

  • Answer incoming telephone calls as the first point of contact for both client and buyer enquiries.
  • Assist with off-street enquiries.
  • Assist with incoming email enquiries.
  • Assisting with maintaining property displays and updating them when properties sell/new properties come on the market
  • Key management.
  • Spreadsheet management/monitoring.
  • Filing.

Trainee Office Administrator

Neilsons Solicitors and Estate Agents are looking to recruit full-time Trainee Office Administrators for both our Head Office team at 138-142 St Johns Road, Edinburgh, and our Midlothian team based at 72 High Street, Bonnyrigg.

Previous work experience at a Solicitor Estate Agency is not essential as full training will be provided.

This position would be ideally suited to a school leaver who is looking to learn Office practice from the basics but it can lead on to a career in secretarial, paralegal, estate agency or law accountancy departments depending on aptitude.

Key responsibilities involve:

  • Filing
  • Photocopying
  • Processing mail
  • Other general administration
  • Answering telephone calls, making telephone calls as instructed, and other general reception duties

The ideal candidate will:

  • Have excellent communication skills both written and verbal.
  • Be a confident user of Microsoft Office Suite (Outlook, Word, Excel etc).
  • Be confident using web-based computer systems.
  • Have a keen eye for detail when data inputting.
  • Be enthusiastic and keen to learn.

Professional and friendly telephone manner is essential, as well as excellent writing and typing skills.

Key job responsibilities:

  • Answer incoming telephone calls as the first point of contact for both client and buyer enquiries.

  • Arranging viewings, liaising with both clients and viewers and uploading the information into our system.
  • Assisting with maintaining property displays and updating them when properties sell/new properties come on the market
  • Entering general data and notes into our Estate Agency system.
  • Other ad hoc general office admin work as and when required.

  • Ideally you will have property department experience already, though this is not essential as long as you have reception experience.
